An appearance audit differs from a condition inspection in what it asks. A condition inspection asks whether something needs maintenance; an audit asks how the property presents against the standard it is meant to hold. The two overlap but produce different findings, and the audit is what supports a budget conversation.

Before starting, state the standard. On a Class A property the question is whether anything is noticeable; on a Class B property it is whether anything reads as neglected. Auditing without stating which produces a list nobody can act on.

How to Use This Audit

  1. State the applicable standard at the top of the sheet before walking.
  2. Assess as an arriving visitor and then as a daily occupant. The two produce different findings and both matter.
  3. Mark items that fall short of the stated standard, not items that are imperfect.
  4. Note the neglect signals separately. These carry disproportionate weight and belong at the top of any remediation list.
  5. Photograph from repeatable positions so audits are comparable over time.
  6. Repeat quarterly using the same route, so the record shows trend rather than snapshots.

Inspection Checklist

  • Date of last full cleaning per zone noted
  • Any leasing activity or tour scheduled in the next 30 days noted

The Neglect Signals β€” Weight These Highest

  • Graffiti present anywhere, including concealed and structure surfaces
  • Gum accumulation at entries, plaza seating, or approach points
  • Overflowing receptacles or visible waste conditions
  • Lighting outages, particularly on occupant routes
  • Faded striping or unreadable signage
  • Weeds in pavement joints, plaza joints, or landscape beds
  • Organic growth visible on elevations or walkways
  • Dark joints and edges on otherwise clean paving
  • Damaged or unrepaired site furniture, railings, or bollards

Arrival Impression

  • Signage legible, clean, lit, unobstructed
  • Entry drive and visitor parking present well
  • Plaza reads as maintained from the arrival point
  • Landscaping maintained and in season
  • Building elevation visible on approach presents well
  • No visible deferred-maintenance signals on the approach

Entrance Presentation

  • Entry paving at close inspection
  • Glazing free of spotting, residue, and hand marks
  • Frames, hardware, and thresholds
  • Canopy, soffit, and signage band
  • Mats clean, flat, and correctly positioned
  • Furniture, planters, and receptacles
  • Lighting operational and fixtures clean
  • Transition to lobby standard is not jarring

Plaza Presentation

  • Field paving uniform, with no striping or lap marks from prior cleaning
  • Detail work evident at joints, tree wells, and bases
  • Seating areas clean and furniture in good order
  • Water feature and surround, where present
  • Shaded sections free of visible growth
  • Smoking area contained and not visually intrusive
  • No accumulation of litter, leaf drop, or debris

Occupant Route Presentation

  • Employee entrance presents at a standard comparable to the main entry
  • Connector walkways clean and free of growth
  • Structure stair cores clean, lit, and free of odor
  • Structure levels free of heavy staining and debris
  • Employee parking presents acceptably
  • Smoking or break area maintained
  • Route lighting adequate β€” assess after dark separately

Parking Presentation

  • Visitor parking surface, striping, and signage
  • Entrance-adjacent stalls free of heavy staining
  • Accessible stalls and aisles clearly marked and clean
  • Landscape islands maintained
  • Structure entry level presents well β€” it is the first structure impression
  • Level identification and wayfinding legible

Building Presentation

  • Street-facing elevations free of visible soiling and growth
  • Ground-floor glazing band consistent along its length
  • Wall bases free of splash-back staining and growth
  • No visible efflorescence, rust staining, or coating failure
  • Signage and illuminated elements clean and fully functional
  • Awnings and fabric elements in good order
  • Roofline, gutters, and downspouts free of visible overflow staining

Turning the Audit Into Action

  1. List the neglect signals first. These carry disproportionate weight and are usually the cheapest to correct.
  2. Separate what a cleaning cycle resolves from what needs a different trade or a capital decision.
  3. Identify anything recurring across audits. Three consecutive audits flagging the same location indicates a source condition, not a cleaning gap.
  4. Compare against the last full cleaning date per zone. A zone failing shortly after service has a frequency or source problem; one failing just before service has the interval about right.
  5. Note where the standard itself may be wrong, either aspirational beyond the budget or lower than the asset warrants.

Using Audits Over Time

A single audit is a snapshot. Four quarterly audits along the same route, with photographs from repeatable positions, show trend β€” which is what actually supports a budget request, identifies whether a program is holding its standard, and demonstrates whether a change in frequency or vendor produced a change in outcome.
