
Community Exterior Maintenance Calendar
Three cycles have to line up in a community calendar β the weather, the amenity season, and the board approval rhythm. Only one of them is negotiable.

Community maintenance planning has to satisfy the Northern California weather pattern, the amenity use season, and β in an HOA β a board approval cycle that moves on meeting dates. The third is the one most often discovered too late, when work that needed doing in October was proposed in September and approved in November.
This calendar positions work against all three. Adjust it to your community's amenity mix and meeting schedule.
January β March | Wet Season
- Inspect drainage under load across walkways, amenity areas, enclosures, and parking β the only period that reveals whether autumn preparation worked.
- Address slip conditions on shaded walkways promptly; this is the highest-exposure period of the year.
- Increase entry and walkway attention; tracked water plus growth is the winter risk combination.
- Pool area at minimum use β a good window for deck assessment and any repair.
- Pet areas need maintained frequency despite the weather; wet conditions worsen odour rather than diluting it.
- Propose the spring program to the board now, so approval lands before the working window.
April β May | Pre-Season and Main Working Window
The highest-value period of the community year, because amenity season is about to open and conditions are reliable.
- Pool deck recovery clean before opening β removes a winter of growth from a surface about to be used barefoot.
- Amenity furniture, umbrellas, shade structures, and enclosures serviced.
- Clubhouse full exterior pass ahead of the event and showing season.
- Full walkway and building entry pass; treat organic growth on shaded sections rather than only removing it.
- Playground surfacing checked, raked, and topped up after winter displacement.
- Parking pass and any striping refresh; target heavily stained assigned positions individually.
- Reassess zone frequencies against what the wet season revealed.
June β September | Amenity Season
- Pool deck on its shortest cycle of the year β slip exposure and resident scrutiny both peak.
- Pet areas at increased frequency; heat accelerates odour substantially.
- Enclosures at increased frequency for the same reason.
- Clubhouse and amenity buildings maintained through the event season.
- Schedule contractor work early or late; hot surfaces cause solutions to dry before rinsing.
- Watch for wildfire ash on pool decks, furniture, and amenity surfaces.
- Propose the autumn pre-season program to the board, which must be approved before the October window.
October | Pre-Season Preparation
The highest-return and most-missed window. In a board-governed community it also has the tightest approval constraint, which is why it must be proposed in summer.
- Clear all drainage β walkway, parking, amenity, enclosure, and roof discharge.
- Verify drainage functions rather than merely looks clear.
- Treat organic growth on shaded walkways before the rains, which addresses the winter slip exposure directly.
- Clear fire-season ash before it combines with rain.
- Pool area wind-down: deep clean, furniture stored or covered, deck assessed.
- Repair joint sealant on walkways and amenity hardscape.
- Verify lighting comprehensively before the short days β resident routes, parking, carports, amenity areas.
- Confirm entry matting is adequate for the wet season.
November β December | Holiday Period
- Disruptive work generally suspended; residents are home and hosting.
- Entries, walkways, and mail and package areas maintained β package volume peaks and so does foot traffic.
- Enclosures need attention despite the quiet period; waste volume rises with the season.
- Slip response on discovery; wet weather plus holiday foot traffic is the exposure combination.
- Lighting failures corrected promptly.
- Annual review and next year's budget prepared for the board, using the year's inspection records.
The Board Cycle Overlay
Overlay your association's meeting schedule on the above and work backward. Two dependencies matter most: the spring program must be approved before April, and the autumn pre-season program must be approved before October. Both mean proposing roughly one full meeting cycle ahead β which in practice means raising spring work in January or February and autumn work in July or August.

- Pet area waste collection and station stocking β daily where well used.
- Enclosure checks weekly.
- Mail and package area attention weekly.
- Graffiti removal on discovery.
- Slip condition response on discovery, under standing authority.

Regional variation applies: coastal and Bay Area communities sustain organic growth on shaded walkways for longer, Central Valley communities face heavier summer dust and a longer pool season, and foothill communities should treat freeze exposure on saturated hardscape as a genuine consideration.
