This worksheet runs the quarterly review against records rather than impressions. It is short by design: a review that takes an afternoon does not happen four times a year.

1. Zone Calibration
The core of the review. For each zone serviced this quarter, what condition was it in immediately before the crew arrived?

Still clearly acceptable at the service date means the interval is longer than needed. Already unacceptable means it is too short. Unacceptable again within weeks of service means a source is operating that frequency will not fix.

Looking only one quarter ahead produces budget surprises. Capital-adjacent items have long lead times and appear in inspection records well before they become urgent.

The Five Questions This Answers
- Which zones were unacceptable before their service? Shorten those.
- Which were still comfortably acceptable? Extend those and redirect the budget.
- Which conditions recurred rather than resolved? Those need source correction.
- What reactive work occurred, and would a frequency change have prevented it?
- What is coming in the next twelve months that needs flagging now?
Why Quarterly
Annual review is too coarse to catch changing condition, and monthly is rarely sustained. The quarter is the interval at which condition has changed enough to be informative and the review is short enough that it actually happens four times.
Properties running this consistently tend to converge on a materially better schedule within two or three cycles, because the adjustments are evidence-based rather than negotiated.

What should a quarterly maintenance review cover?
